What we collect
When you use the enquiry form, email or phone us, we collect the details you give us. This is usually your name, practice or company name, email address, phone number and anything you tell us about your business and what you need. We do not ask for sensitive information through this website. Please do not send us financial records or identity documents through the enquiry form.
How we use it
- To reply to your enquiry and arrange a Let’s Talk conversation.
- To prepare a proposal and terms of engagement if you decide to work with us.
- To keep a record of our correspondence with you.
We do not sell your information.
Our lawful basis
We use your information on the basis of our legitimate interests in responding to enquiries about our services. Where you go on to become a client, we use it because it is needed to take steps towards a contract with you and to meet our legal and regulatory obligations, including our anti-money-laundering obligations as a firm supervised by HMRC and as an Authorised Corporate Service Provider.
Our client portal and formations service
Clients can sign in to our client portal, and practices can sign in to our company formations service, through Microsoft’s secure sign-in. If you use them, we process your name and email address, the documents and instructions you send us, the documents we share with you, and records of our work. Only you, anyone you have asked us to give access to, and our team can see your information. We use it to provide the services in our engagement terms and to meet our legal and professional obligations, and we keep it for as long as our engagement and those obligations require.
Identity verification
Where we carry out Companies House identity verification as an Authorised Corporate Service Provider, we collect and check identity documents. We keep records of those checks for as long as the Money Laundering Regulations and Companies House requirements say we must.
Who we share it with
We share your information only with service providers who help us run the firm, and only as far as needed. These include Microsoft, which provides our email, enquiry form and document storage, our website hosting provider, and Companies House and HMRC where we file on a client’s behalf. Some providers may process data outside the UK. Where they do, we rely on the safeguards required by UK data protection law, such as the UK’s adequacy regulations or approved contract terms.
Where we work for an accountancy practice on a white-label basis, the practice is the controller of its clients’ information and we process it on the practice’s instructions.
How long we keep it
If you do not become a client, we keep enquiry details for 2 years from our last contact and then delete them. If you do become a client, we keep your information for as long as our engagement and our legal and professional obligations require.
Cookies
This website does not use advertising or analytics cookies. Our enquiry form is provided by Microsoft Forms, which may set cookies needed for the form to work. Sign-in to the client portal uses Microsoft sign-in, which sets cookies needed to sign you in. These are strictly necessary and are not used for tracking. If we add any service that sets non-essential cookies, we will update this notice and ask for your consent.
Your rights
You have the right to ask for a copy of the information we hold about you, and to ask us to correct it, delete it, or stop or restrict how we use it. You can also object to us using it based on our legitimate interests. To use any of these rights, email [email protected] for the attention of Stephen Thompson. We will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it last changed.
